Busy Bookkeepers Pty Ltd trading as Account Aspects is an APP Entity as defined by the Privacy Act 1988 (Cth). This means we must follow the Australian Privacy Principles (APPs). The policy below explains how we do this. You should read it carefully and ask us if you have any questions.
INFORMATION WE COLLECT
We collect information from you directly when you use our services or website. This information could be your name, email address, telephone number, credit card details, bank account details, or address.
We also collect information about you from other sources such as:
- When we are appointed as your agent with the ATO or your Super fund.
- If we perform searches for your businesses and registrations.
- When people refer you to us directly.
- If you are an employee of one of our clients they may need to give us your information.
Information that can reasonably identify you, it is personal information and we will handle it and use in the ways we explain in this policy and when we collect it from you.
We also collect information that might not identify you. We will treat this as personal information if that information can identify you later.
Sensitive information may be collected from you:
- If we need your Tax File Numbers.
- If we need your Superannuation information.
- If we need to access your credit history.
- If we need to consider health care or pension benefits.
- If you share sensitive information with us without us asking for it.
HOW WE USE YOUR INFORMATION
We use the information we collect to deliver our services to you and to improve how we do things. Our services that use your information include:
- Bookkeeping services for you or your employer.
- Preparing tax returns or other documents.
- Providing you or an employer with budget projections and other accounting information.
- Finance applications.
- Taking payment for our services.
- Letting you know about new services or updating terms.
- Marketing our services or products to you.
We also use your personal information in ways you would reasonably expect that are related to why we collected the information. These uses might be things like a social media post promoting you and our services or responding to a review online or in the media.
We can use your personal information in any way that you consent to. Service Agreements include specific consents, please read our terms and conditions carefully.
We may market to you if you have given us your details and have not tried to unsubscribe. You can unsubscribe on any of our emails or by or contacting us by phone.
DISCLOSURE
We may share your personal information if you consent. We may also share your personal information if you would expect us to share it and the reason for sharing is related to why we collected your information.
The services we share your information with, and their privacy policies, are in a table at the end of this policy.
Our services include offshore bookkeeping services. If you use these services:
- Your information will be disclosed to those services and the contractors who work for them.
- Our agreements with these service providers have strict terms protecting your information from disclosure.
- These service providers are all regulated by similar privacy laws to Australia.
- If a breach occurs in an offshore provider, we are still required to notify you and help you fix any damage that occurs.
We may need to share your information for legal reasons. This might be when a law or court order asks for it, or if a law enforcement agency such as the police need it for an investigation.
We may sell one of our businesses. The purchaser will guarantee they have similar privacy policies if this happens.
STORAGE AND SECURITY
We take reasonable steps to protect your information and our IT service audits our storage often. Information may be stored in services such as cloud servers, email servers or the servers for offshore providers.
Your information will only be sent to or stored in countries that have privacy laws like Australia’s.
We only keep your information:
- For as long as we need to so that we can provide our services; or
- For as long as Australian laws require us to keep it.
We will delete or de-identify your information when we have no reason to keep it.
We will tell you of any breach where your information was accessed.

OTHER REGULATIONS
The Tax Practitioners Board code of conduct also requires that we:
- Do not disclose client’s information unless there is a legal duty to.
- Do not disclose information about a client’s affairs unless there is a legal duty to.
- Have certain obligations to ensure offshore services comply with confidentiality and privacy.
We cannot breach our duty of confidentiality without risking our right to practice in this profession. If you believe we have not handled your information correctly, please contact us.
COMPLAINTS
You can make a complaint if you think we have mishandled your personal information. Write to our Privacy Manager using the details above and tell us what we did wrong and how we can make it up to you.
We will consider your complaint and give you a written response within 45 days.
You can contact the Office of the Australian Information Commissioner (OAIC) if you do not like our response.
